How to import archived emails into The bat! for searching and browsing just like Outlook PST files?
 
Hi,
How to import archived emails into The bat! for searching and browsing just like Outlook PST files?
I can import Outlook archived PST files into Outlook 2021 and then I can search/forward/edit emails in thses imported PST files, Is is possible to import(maybe i call it mount) The bat! backup files such as .TBB files into The bat! ?
 
(Note: I know nothing about Outlook and PST files and I suspect that this is true for more people in this forum. So, instead of saying "I want to do X like Outlook does it",  it would be better if you explain what it is exactly that you want).

As for importing messages from TTB files, that's what Tools | Import is for. Have you tried it?

I have no experience with Outlook but have many years of working with The Bat!. Please note that .TBB / .TBI files are not for backup storage. They are database files for live message storage. If you need messages to be archived and to have full access to them within The Bat! you can use following procedure:

1. Create dummy account which will be used only for archiving purposes (i.e. mail servers and user name and e-mail can be quite arbitrary). Let the name of this account will be Archive.

2. Create filter for read messages of following features:
- Condition: for example "[Date of] [creation] [is before] [01.01.2023]"
- Actions: Move to the folder "\\Archive\%ODate(YYYY)\%FolderFullName"

3. Optionally you may switch on the option to execute filter by pressing selected Hot Key, and share the filter with selected accounts if it belongs to the Common filters.

4. Go to the folder which you want to be archived, select all messages (Ctrl+A) and press the hot key enabling the filter. All messages created before January 1, 2023 (as it was set in the filter) will be moved to the Archive account and sorted by year of creation to the appropriate folders.

5. If the archived messages sould be sorted by their account names it is sufficient to slightly change the folder name in filter to "\\Archive\Archive\%FolderFullName\%ODate(YYYY)".

I have been using this method of archiving messages for a long time and thanks to this I have clear access to all correspondence since 1998 (over 200,000 e-mail messages spanning almost 25 years).

Really perfect. This is exactly the best practice I need. Thank you very much for your valuable experience and detailed guidance.

Can you help me with two questions:
1. How do I run filters manually? I can't find a button to run one filter at once. It's not a good choice for me to run filters with hotkey.
2. Do you store all your over 200,000 e-mail messages in one dummy account? If YES, what is the file size (xx GB) of your .TBB file? I would like to know the performance of The Bat! with huge data files. I know  that Outlook 2021 will be good for browsing and searching with 30~50GB .PST data files.

Thank you, it is now a good way to archive emails by importing .TBB or .TBK files. Zygmunt's solution fits my needs.

However, you can run selected filter periodically, using Scheduler from menu Tools. For example, I set an archiving task to be executed two times a year. Such process is fully automated.

2. My mail archive account is of size 9 GB (this is the size of disk directory in which the folder is stored. Such size is a result of having mainly text messages, sometimes with attachments (I use on-the-fly encryption and attachments cannot be stored separately). I did not observed any performance degradation of The Bat! when handling my archive (browsing and searching mails).

Good. I use a similar method myself, but instead of automated filters, I simply use drag & drop to move messages manually to the folders in the corresponding dummy accounts that I use for archiving.

If you like to use Alt-F2 in The Bat ('Get new mail for all'), then you may want to set the option "Ignore 'Check all accounts' request" in Properties | Options of your dummy accounts. That way, The Bat won't try to retrieve mail for your dummy accounts.
